TaxFly ("we", "us") respects your privacy and is committed to protecting your personal data in line with UK GDPR and the Data Protection Act 2018. This policy explains what we collect, why, and the control you have.

Using TaxFly without an account

You can use every calculator and tool without signing up. The calculators run entirely in your browser, so the salary, income, property prices and other figures you type are not sent to or stored on our servers unless you choose to save them to an account.

Information we collect

  • Analytics: anonymised usage data (pages viewed, device, approximate location) to improve the site.
  • Advertising: if ads are shown, partners may use cookies to measure and personalise them.
  • Contact: if you email us, we keep your message so we can reply.
  • Account data: if you create a free account we store your name, email address and a securely hashed password.

If you create a free account

A free account lets you save results, track deadlines and keep documents. We only store what you choose to save, and we use it solely to provide your dashboard. This can include:

  • Your tax profile: the situation you tell us (for example sole trader, landlord or employee), your region, and an optional company number.
  • Saved results: the figures and results you save from a calculator.
  • Documents: files you upload to your document locker, such as HMRC letters, invoices or receipts.

Sensitive saved data, including your saved figures, document text and company number, is encrypted at rest. We never sell your data.

Reading documents (OCR)

When you use the HMRC letter reader or the receipt scanner, or upload a letter or receipt to your locker, the file is sent to our optical character recognition provider purely to read the text. We do this only to give you the result. The provider is listed below.

Companies House

If you add a company number to your profile, we query the free official Companies House API to show your filing dates. We send only the company number, which is public information.

How long we keep your data

Documents you upload but do not save are deleted automatically after processing. Anything you save stays until you delete it or close your account. If you delete your account, all of your data and files are permanently removed.

Who processes your data

We use a small number of trusted providers (sub-processors) to run the service: our hosting provider (to store the site and your account data), our OCR provider OCR.space (to read uploaded documents), and Companies House (public filing data). Each processes data only as needed to provide their part of the service.

Cookies

We use cookies for analytics, for keeping you signed in, and (where applicable) advertising. You can control these via our cookie policy and your browser settings.

Your rights

You have the right to access, correct, export or erase your personal data, and to object to processing. If you have an account, you can download all your data or delete your account and everything in it at any time from your privacy and data settings. You can also contact us, and you can complain to the Information Commissioner's Office (ICO).

We may update this policy from time to time. The "last updated" date above shows the latest version.
